Privacy Statement

Last updated: 6 October 2026

This statement explains what information Sessions.scot ("Sessions.scot", "we", "us") collects about you, how we use it, and the choices and rights you have. Sessions.scot is a community-run directory of traditional-music sessions across the world.

We aim to collect as little personal information as possible. We never ask for a password: you sign in with an account you already have, through Microsoft's sign-in service.

1. Information we collect

Depending on how you use Sessions.scot, we may collect the following information.

Account information

To let you sign in, Microsoft's sign-in service holds your email address, your name and how you sign in, on our behalf. We keep an identifier for your account and the public profile you create.

Content you contribute

Content you add to the Service is stored with your account and may be visible to others as part of the shared, community-edited directory.

Emails

We only email you if you ask us to, at the email address our sign-in service holds for you. Every email lets you unsubscribe, and you can stop emails at any time.

Location information

To show sessions near you, we may ask your browser for your location. Your browser asks for your permission first, and you can refuse or withdraw it at any time. We do not keep a history of your location.

Technical and usage information

We, and the providers that deliver the Service, may record technical information such as your IP address, browser details and the pages you visit, to keep the Service secure and working. We may also count how the Service is used, in a form that does not identify you.

2. Cookies

We use only essential cookies and similar storage on your device, to keep you signed in and remember your choices. We do not use advertising or tracking cookies.

3. How we use your information

We use the information described above to:

  • provide and operate the Service, including showing your contributions under your public name;
  • help you find sessions near a location;
  • keep the Service secure, prevent abuse, and moderate content;
  • diagnose problems and improve how the Service works.

4. Our legal basis

Where UK data-protection law applies, we rely on your consent to access your location and to email you; on the performance of our agreement with you (the Terms of Service) to provide account features; and on our legitimate interests in running a secure, reliable and useful community service for the technical and moderation purposes above.

5. Who we share information with

We do not sell your personal information. We share it only with the service providers that make Sessions.scot work:

  • Microsoft, which provides sign-in and sends our emails (and Google, if you choose to sign in with it);
  • Hetzner, which hosts the Service and stores its data in Germany (EU);
  • Cloudflare, which delivers and protects the website;
  • map and place-search services, which may receive your IP address when you use a map.

Each of these providers processes information under its own privacy policy. We may also disclose information where we are required to do so by law.

6. How long we keep it

We keep your account information, including your sign-in details, until you delete your account, which you can do at any time. Content you contributed to shared listings may remain after that, no longer linked to you. Deleted information may remain in backups for up to seven days. Technical logs are kept only briefly, and anonymous usage counts may be kept indefinitely.

7. Your rights

Depending on where you live, you may have rights over your personal information, including the right to:

  • ask for a copy of the information we hold about you;
  • ask us to correct information that is wrong or incomplete;
  • ask us to delete your account and personal information;
  • object to, or ask us to restrict, certain uses of your information;
  • withdraw a consent you have given, such as to location access or emails.

To exercise any of these rights, contact us using the details below. If you are in the UK and are unhappy with how we handle your information, you may also complain to the Information Commissioner's Office (ico.org.uk).

8. Keeping your information secure

We take reasonable technical and organisational measures to protect your information, including encrypting it in transit. No online service can be completely secure, but we work to keep the risk low.

9. Children

Sessions.scot is not directed at children under 13, and we do not knowingly collect information from them. If you believe a child has provided us with personal information, please contact us and we will remove it.

10. Changes to this statement

We may change this statement at any time. When we do, we will update the date at the top of this page. Continuing to use the Service after a change means you accept the updated statement.
